Job Description:
About the Role We are seeking an experienced and passionate Executive Assistant to join the Team in Lae, Head Office. The ideal candidate will provide high-level administrative support to the General Manager, Finance Manager, and National Sales Manager. This role requires a proactive and highly organized individual who can manage multiple priorities and work effectively across different departments. The Executive Assistant reports directly to the General Manager.
About the Company Bridgestone Tyres (PNG) limited is a multinational company and the largest distributor of Bridgestone Tyres and related products in PNG.
Roles and Responsibilities
Administrative Support
Manage calendars and schedule meetings, ensuring optimal time management for the General Manager, Finance Manager, and National Sales Manager.
Organize and coordinate travel arrangements, including booking flights, accommodations, and transportation.
Prepare and process expense reports, ensuring timely and accurate submissions.
Draft, proofread, and edit correspondence, reports, and presentations.
Maintain a high level of confidentiality and discretion in handling sensitive information.
Communication
Act as the point of contact between executives and internal/external stakeholders.
Screen and direct phone calls, emails, and other correspondence to appropriate parties.
Facilitate communication within the executive team and across departments.
Meeting Coordination
Organize and coordinate meetings, ensuring all necessary materials are prepared and distributed in advance.
Take detailed minutes during meetings and follow up on action items to ensure timely completion.
Assist in the preparation of meeting agendas and presentations.
Job Requirements:
Skills & Qualifications
Diploma in Business Administration, Communications, or a related field preferred.
Proven experience as an Executive Assistant or in a similar administrative role for more than 3-5 years.
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to work independently and handle multiple tasks simultaneously.
High level of integrity and professionalism.
Be able to work in dynamic & fast paced working environment
Be able to manage competing priorities hence maintain a high level of organizational efficiency.

Note: Occasional travel may be required to support executive activities.
