CONTRACT ADMINISTRATOR
 
This role is Port Moresby based.
 
About your next role:
We are looking for an experienced Contract Administrator to join our PEC team. 
 
Your background and experience:
This is an opportunity for someone who wants to diversify their experience in a new environment. You are motivated, outcomes focused and a self-starter. Ideally you will have:
  • Administer and manage all HVAC project contracts from initiation to completion.
  • Ensure compliance with contract terms, conditions, and company policies.
  • Prepare, review, and negotiate contract terms and conditions.
  • Maintain accurate and organized records of all contract documents, correspondence, and changes.
  • Ensure all documentation is complete, accurate, and easily accessible for project teams and stakeholders.
  • Track and manage contract amendments, variations, and change orders.
  • Coordinate with project managers, engineers, subcontractors, and suppliers to ensure smooth execution of contracts.
  • Communicate effectively with clients and stakeholders to address any contract-related issues or concerns.
  • Provide regular updates on contract status, issues, and resolutions to management.
  • Ensure all contract activities comply with local laws, regulations, and industry standards.
  • Stay updated on relevant legal and regulatory changes that may impact contracts.
  • Implement and enforce company policies and procedures related to contract management.
  • Monitor and manage contract budgets, expenditures, and payments.
  • Review and approve invoices related to HVAC contracts.
  • Ensure timely and accurate billing and payment processes.
  • Identify and mitigate potential risks associated with contracts.
  • Conduct regular reviews and audits to ensure contract compliance and performance.
  • Implement corrective actions to address any non-compliance or performance issues.
  • Provide training and support to project teams on contract management best practices.
  • Assist in the development and improvement of contract management processes and tools.
  • Promote a culture of compliance and continuous improvement within the organization.
Job Requirements:
Applicants for this role must meet the following Essential requirements to be considered.
  • Diploma or degree in Business Administration, Contract Management, or a related field.
  • Strong understanding of contract law and contract management principles.
  • Proven experience in contract administration, preferably in the HVAC or construction industry.
  • Excellent organizational and record-keeping skills.
  • Effective communication and interpersonal skills.
  • Attention to detail and a strong commitment to accuracy and quality.
  • Ability to work independently and as part of a team.
Following attributes are highly desirable.
  • Familiarity with HVAC systems and construction projects.
  • Knowledge of local laws and regulations in Papua New Guinea.
  • Proficiency in contract management software and tools.
  • Strong analytical and problem-solving skills.
